Tips on how to Organize an event

Organizing an event requires preparation and good communication from the team who organize it. There are some tips for you to organize your successful events!

 

  1. Outline the concept.

We do this in the first to get to know what kind of event we will organize. Whether it is a virtual, offline or hybrid event? By this, we can also mapping our needs to support the success of the event.

 

  1. Mapping our needs.

It is absolutely mandatory to map the needs, so the preparation is much better because our needs can be listed in advance. For example, if the event is virtual, we have to decide whether we will use Zoom or Microsoft Teams? Webex? Or Kudo? Then, if we already know what platform we want to use, we can think about the others such as what do we need to make the event can be enjoyed by participants? Does it provide an interpreter? Sign language interpreters? Or a fast typist?  Well, to make it more interesting, maybe we can provide a certificate for all participants or we can use a quiz platforms such as Kahoot, Mural, Mentimeter or Slido.

 

  1. Make a budget plan.

Now, if all the needs have been determined, the next step exactly a budget planning! We can start by finding out how much it costs to use a Zoom meeting? If we want to use interpreters, where should we find them? Approximately how much does it cost? It’s really nice to do surveys, so that the big budget can be estimated quickly. Eitss, don’t forget to set the maximum budget according to your needs so that you can optimize your needs!

 

  1. Find a vendor to help us!

While planning a budget, we can looking for vendors to help as well! Don’t forget to use the services of a trusted and experienced vendor, for example, Global Virtual Events hihihihihihihi… Don’t hesitate to ask questions and consult so that your event will be even more interesting!

 

  1. Event preparation and the D day

Well, if the preparation is done, we will continue to prepare for the event. Starting from coordinate with prospective speakers, do a dry run, coordinate with vendors, arrange meeting to discuss technical preparation and run through event rundowns to ensure the smooth running of the event. Don’t forget to remind the speakers such as the MC/moderator, presenters, etc. to use a stable internet connection if our event is online, so that the event goes well without any issue. Make sure communication can goes well with all parties on duty, guys!

 

  1. After event
